Why You Should Never Book a Set Collection Time for Your Airport Taxi
Arriving at a busy airport after a long flight should be a smooth and easy experience. Your luggage is collected, you walk through the arrivals hall, and you look forward to getting home or to your hotel in comfort. However, organising your transport from the terminal requires making some important decisions during the booking process. One of the most common mistakes travellers make is choosing to book a "set collection time" for their pickup instead of using flight tracking or a deferred collection.

What is a Set Collection Time? (And the Hidden Risk)
When you make a taxi booking, you are asked what time you want the driver to collect you. If you tell the company to send the driver at an exact, specific time (for example, exactly at 14:00) this is choosing a set collection time,
While this might seem like a good way to control your schedule, it introduces a major problem for airport pickups: what happens if your flight is delayed or arrived early?
Flight timings are highly unpredictable. Wind speeds, air traffic control congestion, and airport delays mean that airplanes rarely land exactly on schedule. This unpredictability is the primary reason why booking a set collection time is highly discouraged.
For example, if your flight is delayed and you have booked a set collection time, your driver will still arrive at the airport at the originally booked time. They will be waiting for you at the terminal while your plane is still in the air. Alternatively if your flight lands early, you will clear customs and baggage reclaim ahead of schedule. However, because you booked a set collection time, your driver will not arrive until the time you booked. Meaning you will be waiting around in the busy terminal building with your luggage, unable to start your journey home, even though you pre-booked.
How Flight-Tracked Collections Solve This Problem

- Mandatory Flight Tracking: We ask you to provide your arrival flight number at the time of booking. Your assigned driver actively tracks this flight number.
- Automatic Adjustment: If your flight is delayed by several hours, or if it lands early, your driver will adjust to arrive shortly after your actual landing time. There are absolutely no penalty fees for flight delays.
- The 1-Hour Free Waiting Window: From the exact moment your plane touches down on the runway, we allow 1 full hour of free waiting time. This gives you a generous 60-minute buffer to disembark, pass through passport control, and collect your suitcases from the carousel without feeling rushed.
- Transparent Overtime Fees: If you are delayed past the free 60-minute window, the driver will continue to wait for you as long as we have active contact with you. Waiting time beyond the first hour is billed pro rata at a flat rate of £24 per hour.
Note: An exception might be if your flight lands very early in the morning and you cannot arrive at your accommodation or meeting ahead of time (for example, if key collection isn’t open yet or you have a scheduled interview). In these specific cases, please reply directly to your Journey Acknowledgement email to let us know. Our 24/7 operations team and your driver will be fully briefed to ensure everything runs smoothly.
The Alternative: a Deferred Pickup?
Some passengers prefer to have more than an hour to get through the airport. Usually international travellers, non-UK citizens who must queue for passport checks, or families travelling with young children.
If you know you will need extra time, you still should not book a set collection time. Instead, you should request a Deferred Pickup.
How a Deferred Pickup Works:
A deferred pickup allows you to request that the driver arrives a set number of minutes after your flight lands (for example, 90 or 120 minutes after landing).
- Flight Tracking Remains Active: Unlike a set collection time, the driver still tracks your flight.
- Safe from Delays: If your flight is delayed and lands at 16:00 instead of 14:00, your 90-minute deferral automatically shifts. The driver will arrive at 17:30 (90 minutes after actual landing), and your waiting time charges will only begin from that adjusted time.
- The Risk of Exiting Early: It is important to bear in mind that if you pass through the airport much quicker than expected, you may have to wait at the terminal for your driver to arrive, as they are scheduled to appear only when your deferred period is over.
- Our Recommendation: We do not recommend requesting a deferral of less than 60 minutes, as our standard collection already includes a free 60-minute waiting window. Remaining with a standard pickup is always the safest option unless you specifically need 90, 120 (or more) minutes.
