The Golden Rule: Contact Your Driver or Our Office ASAP
If you realise that you are stuck in a passport queue or held on the aircraft and are going to be delayed, the absolute single most important step, you can take is to let us (office or driver) know immediately.
Unfortunately, it is not uncommon for passengers to accidentally book for the wrong date, miss their departing flight entirely, or forget they've booked a taxi and leave without notifying us. If the clock is ticking and we do not hear from you, we have no way of knowing whether you are sitting at home oblivious to a booking error, still stranded at your departure airport, or simply stuck in a slow-moving baggage reclaim queue.
Making quick contact means we know exactly where you are. Our drivers will wait for you for as long as it takes, provided we have contact with you and know for certain that you still require the taxi.
Distinguishing Between a Flight Delay and a Passenger Delay
Before you start worrying about being late, it is crucial to understand the difference between a delayed flight and a delayed passenger.
If your flight departs late or is held up in the air, you do not need to take any action regarding your pickup time. We take your flight number at the time of booking specifically so that your assigned driver can actively track your flight's live status. If your flight is delayed, your driver will be aware of the situation and will automatically adjust their arrival time to match when your aircraft actually touches down. There are no penalties or extra charges for flight delays.
However, if your flight lands on time but you are delayed getting through the airport (whether stuck on the runway or caught in immigration) standard waiting time protocols apply.
The 1-Hour Free Waiting Window
Unlike on-demand ride-hailing apps that begin charging you by the minute almost immediately, traditional airport transfer specialists provide a generous buffer to help you navigate the terminal.
On journeys collecting from an airport, Onward Travel Solutions includes a maximum of 1 hour of waiting time starting from the exact moment the flight actually lands. This 60-minute window is typically more than enough time for the average traveller to clear passport control, collect their luggage, and meet their driver.
What Happens If You Exceed the 1-Hour Mark?
If passport control queues are exceptionally long or you are held on the plane, and you exceed your 1-hour free grace period, waiting time charges will apply.
After the first free hour elapses, waiting time is charged, regardless of the reason for the delay, at £24 per hour pro rata (which calculates to £20/hour plus VAT). Because this fee is calculated pro-rata, you only pay for the specific block of time you use beyond the free hour, ensuring the pricing remains fair and transparent.
Note: For non-airport collections, such as a hotel or residential pickup, the same £24/hour pro rata waiting fee applies, but it starts immediately from the scheduled pick-up time rather than a landing time.
