What Happens if Your Flight Is Delayed and You Have a Booked Taxi?
There is nothing more frustrating in travel than a flight delay. While you worry about missed connections, lost sleep, and disrupted schedules, another immediate concern inevitably pops up: What happens to my pre-booked airport taxi?
At Onward Travel Solutions (OTS), we have been managing UK airport transfers since 2006. Over the last two decades, we have handled thousands of flight delays, schedule adjustments, and last-minute changes. We know that flight delays are entirely out of your control, which is why we have built our business model to absorb these disruptions seamlessly.
If you have booked a transfer with us and find your flight delayed, this guide explains how our live flight tracking works, how your waiting time is protected, and what else to expect after you land.
The Short Answer: No Penalties, we just Automatically Adjustments
The most important thing to know is that, when travelling with us, there are absolutely no financial penalties or extra fees for flight delays.
When you book, we require your flight number. We don't ask for this as a formality; we actively track your flight's live status throughout the day.
Whether your flight lands ten minutes early, an hour late, or in the middle of the night, your driver will adjust their arrival time to match when your aircraft actually touches down.
Long story short, our team and your driver are already on top of it.
How Live Flight Tracking Works Behind the Scenes
We believe that getting off a flight should be completely stress-free. That is why we have made tracking your journey simple, automatic, and highly reliable:
- You Book Online: The moment you complete your booking on airporttaxis-uk.co.uk, your journey automatically enters our centralised booking system.
- Instant Automatic Check: Our system checks to make sure your flight details match the date, time, airport, and terminal on your booking.
- Manual Review: If anything looks mismatched (like a typo in the flight number), our team manually reviews your details and will contact you directly to clear up any confusion.
- Driver Assigned: Once everything is confirmed as correct, we allocate a vetted, professional driver to your transfer.
- Active Flight Tracking: On the day of your travel, your driver actively monitors your flight's live tracking.
- Driver Changes: If your flight is delayed or lands early outside of your schedule driver’s ability to adjust, they contact our office, and we assign a new driver so you are never left waiting.
- A Smooth Landing: Shortly after your plane touches down, your driver makes contact to guide you to your onward travel.
The 1-Hour Free Waiting Window is Fully Preserved
Many travellers worry that if their flight is delayed, this will eat into their complimentary waiting time. This is a common misconception.
At Onward Travel Solutions, our standard airport collection policy allows all passengers a maximum of 1 hour of waiting time starting from the exact moment the flight actually lands (not the scheduled time).
Standard Collection Delay Example:
- Scheduled Landing Time: 10:00 AM
- Actual Landing Time (Due to Delay): 10:20 AM
- Your Complimentary Waiting Window: 10:20 AM to 11:20 AM
- When Waiting Charges Begin: 11:20 AM
As the example illustrates, the 60-minute countdown only begins once the wheels of your aircraft touch the runway, giving you plenty of time to clear passport control, navigate baggage reclaim, and meet your driver without any rush.
If your collection exceeds this 1-hour grace period (due to exceptionally slow queues inside the terminal), waiting time is charged pro-rata at £24 per hour (which calculates to £20/hour plus VAT). Because this charge is pro-rata, if you are 15 minutes late, you only pay £6.00.
What to Do If Your Flight is Cancelled
If your flight is cancelled at your departure airport, we ask that you contact our central office as soon as you possibly can.
Because your driver is tracking your flight our office is often aware of the cancellation before you call and may have already postpone your booking on your behalf, if not postponement is still usually your bets option.
Postponement means your booking credit is completely preserved on our system for up to 1 year (365 days). You can use this flexible credit for any future journey across our nationwide UK network, utilising any vehicle size or passenger count (simply paying the fare difference if your new route is longer or requires a larger vehicle).
In most cases travellers are scheduled onto a later flight the same day, once you confirm this is the case you would just contact us again and reschedule the booking.
_(Please note: In line with our standard terms, no refunds can be offered for cancellations made with less than 24 hours' notice, which is why postponing to a Flexible 365-day credit is our most highly recommended option)_.
